The Ultimate Tool for Handmade Business Organization

Pricing handmade products can feel like throwing darts in the dark. Are you charging too much? Too little? Are you even making a profit or just covering expenses? Yeah, I’ve been there.

Running a handmade business comes with enough challenges, figuring out pricing, tracking orders, and managing inventory shouldn’t add to the stress. You started this business to create, not to get buried in spreadsheets and forgotten supply lists. Have you ever sat down to make a new batch of earrings only to realize you’re out of earring posts? I have. That’s why I created the Handmade Product Hub, a Notion template designed to simplify handmade business organization so you can focus on what you love—making.

Who’s It For?

This template is perfect for makers, crafters, and handmade business owners who want a clear, easy-to-use system for pricing their work, tracking inventory, and staying on top of orders, all without the math headaches.

Why Pricing Handmade Products Right Matters

  • The common struggle: Many makers underprice their items, whether out of fear of charging too much or not knowing how to calculate costs properly.
  • Profit vs. revenue: Selling a product ≠ making money. If you’re not tracking material costs, time, and expenses, you might just be breaking even—or worse, losing money.
  • How a system helps: A good system keeps your pricing consistent, ensures you pay yourself, and helps you stay on top of orders.

What’s Inside the Handmade Product Hub?

Pricing Calculator

The Handmade Product Hub started as a pricing calculator designed to help handmade business owners price their items accurately. Each page in the Product Catalog database includes a built-in calculator. Enter your materials, labor, and overhead, and it will auto-calculate a base price. From there, you can add your desired profit margin, markup, and test discounts, all while making sure you’re doing more than just covering expenses.

Raw Materials Inventory Tracker

Never get caught without essential supplies again. Track your raw materials and get a clear view of what needs to be reordered before you run out. No more last-minute scrambles to find that one thing you need to finish a collection launch.

Product Catalog

Organize all your handmade items in one place, complete with descriptions, pricing, and photos. Keep an archive of past products so you always have a record of what you made, the materials you used, and what you charged. No more flipping through old notebooks trying to remember last year’s pricing.

Sales Tracker

Log your daily sales and capture details like quantity sold, price, date, and shipping status. Plus, since the Sales database is connected to the Product Catalog, your inventory updates automatically.

Supplier Database

Store all your vendor info in one spot, supplier names, contact details, and order history. No more digging through emails to find that discount code when it’s time to restock.

Setting up your template takes a little time, but once it’s done, everything runs smoothly. Make sure to follow the steps in order—one of my testers emphasized that skipping steps could impact functionality.

Here’s what to do:

Add your raw materials and packaging supplies – List everything currently in your inventory.

Enter material quantities and costs – Calculate the cost per unit of what you have on hand. (Future orders will update automatically!)

Add suppliers – Keep track of vendors, tool purchases, and even your landlord’s contact info if you rent a space.

Factor in overhead costs – Subscriptions, tools, rent, these should be part of your pricing strategy.

Step 3 – Now Comes the Fun Part: Start Tracking & Profiting!

Head to the Product Catalog and start adding your handmade products. Inside each product page, you’ll find the pricing calculator. Just input:

  • Materials & packaging costs
  • Labor time & rates
  • Overhead expenses (If you set this up earlier, just grab the total from your database.)
  • Your desired profit margin

The calculator will generate a base price, and from there, you can adjust for retail, wholesale, discounts, and consignment pricing.

On the Sales Tracker page, log your sales and view reports by week, month, year, or all-time. Track orders in progress, update packaging and shipping statuses, and watch your inventory adjust automatically in the Product Catalog.

On the Materials Manager page, receive alerts when supplies are running low and track purchase orders. You can also manually adjust inventory if needed.

Need to update suppliers or add new overhead costs? Those have dedicated pages too! Plus, the To-Do Lists sync across pages, so anything you add in one section updates everywhere.
